Transmittals

Transmittals, submitted through the PI WorkCenter, are required for all proposal submissions. PIs or Research Liaison Officers should create a transmittal as soon as it is known that a proposal is needed based on department guidelines.  The transmittal ID should be referenced in emails about the proposal.

The My Work – PI section of the PI WorkCenter provides access to the transmittals through the various stages of submission.

Create Transmittal

Located on the top left of the portal, the "Create Transmittal" option allows Principal Investigators to create a new transmittal that will be assigned a Transmittal ID and route to the appropriate University officials for the necessary approvals to submit a proposal.

Key information is captured on the transmittal form such as Transmittal Title, Proposal Type (Administrative, Continuation, New, Resubmission, Supplement), Sponsor, Principal Investigator, Department, Project Period, Budget, Cost Share, and F&A split.

Under Construction

The Under Construction section displays transmittals that have been created but have not yet been submitted into the approval workflow. These records remain in draft status and can be updated as needed. Users can open a transmittal to review or edit proposal information, upload supporting documents, and complete any required fields before routing the transmittal for approvals.

Awaiting Your Approval

The Awaiting Your Approval section displays transmittals that require action from you. Depending on your role, you may be asked to approve as the Principal Investigator (PI), Co-Principal Investigator (Co-PI), Department Chair, Dean, Vice President for Research, or another designated approver. Selecting the transmittal allows you to review proposal information, budgets, cost sharing commitments, and other supporting documentation before approving or returning the transmittal for revisions.

Being Routed for Approval

The Being Routed for Approval section lists transmittals that have been submitted and are currently progressing through the institutional approval workflow. Users can monitor the status of each transmittal, view completed approvals, identify pending approvers, and track the proposal's progress toward final authorization for submission to the sponsor.

Search Transmittal

The Search Transmittal feature enables users to locate transmittals using a variety of search criteria, including Transmittal ID, Principal Investigator Employee ID, Principal Investigator Name, Sponsor, Department, Proposal Type, Processing Status, and date ranges. Search results provide quick access to transmittal details, approval history, and current workflow status, making it easier to track and manage proposal submissions.
