  • Help departments understand and manage event listings in Monday.com, including event details such as what, when, where, and who.
  • Add approved events to the College of the Arts online calendar.
  • Ensure events are first entered into Monday.com (Season Planner) before being added to the online calendar.
  • Verify that calendar images meet CMS requirements, including the required 500 × 500 pixel image size.
  • Submit events to external arts community calendars when appropriate.
  • Maintain communication with Parking Services to identify events that require staffing and operational support.

How to Work With Us: 6-Step Process

All Season Planning submissions must be completed using the designated Excel template.

  • Submit the completed Excel template to the Associate Dean for Operations by June 1.
  • This allows adequate time to upload events and create records within the College of the Arts event management system.
  • Our office will upload all approved submissions into the Monday.com Season Planner.

Important: Season Planning is the first step in the process. No additional event requests will be processed until the Season Planning upload is complete.

Once Season Planning has been finalized in Monday.com:

  • Submit all new or additional event requests through the official Event Submission Form (linked below).

Ticketing is created using information from:

  • Monday.com Season Planning
  • The Event Submission Form

Please ensure all event details are accurate and complete to avoid delays.

Parking Services is notified using the information entered in Monday.com Season Planning.

  • Be sure to complete the appropriate Parking fields for your event.
  • No separate parking request is required unless event details change after submission.

To allow adequate time for planning and coordination:

  • Submit all event requests at least two months in advance.

After your request is submitted:

  • Our office will review the information and begin event setup and coordination.

Note: Late submissions may result in delays or limited support.

  • Review all event information for accuracy before submitting.
  • Follow the required process:
    1. Complete the Excel Season Planning template.
    2. Submit the approved Season Planning information.
    3. Submit any additional requests through the Event Submission Form.
  • Submit requests as early as possible to allow sufficient planning time.
  • Notify our office promptly if any event details change after submission.
